Position Summary

Job Summary :

The role of a Supplier Master Data Specialist is crucial for maintaining the integrity and reliability of supplier information. Obtaining and reviewing vendor documentation to be submitted into Oracle, ensuring all documentation is complete, accurate and compliant with our company standards. The supplier maintenance role plays a key part in ensuring the procure to pay process runs smoothly. Strong attention to detail, organizational skills, and proficiency in data management tools are essential for success in this role.

Job Duties / Key Accountabilities

• Data Entry and Maintenance- Inputting new supplier information including contact details, addresses, payment terms, banking information and tax ID’s. Updating existing suppler records to changes in contact information or contracts.
• Verification and Validation – Verify the accuracy and completeness of supplier data by cross referencing information with supporting documentation such as contracts, invoices or tax forms. Validate tax IDs in the IRS portal.
• Supplier Onboarding / Offboarding – Coordinate the onboarding process with compliance and end users by collecting necessary documentation. Facilitate the offboarding process for discontinued suppliers by updating the record and attaching terminated contracts.
• Compliance and Risk Management - Ensure compliance forms have been filled out completely and approved by compliance before entering suppliers into supplier maintenance. Proactively identify potential risks and bring them to your managers attention.
• Continuous Improvement - Identify opportunities to streamline processes and automate routine tasks related to supplier maintenance. Participate in system upgrades, user training initiatives to maximize the effectiveness of the supplier data management system.
• Documentation and Record keeping- maintain documentation off all supplier records, updates and audit trails to support internal controls, regulatory audits and legal inquiries.
