Job Description
We are seeking a skilled and proactive IT Asset Management System Administrator to join our team to oversee the management and lifecycle of our IT assets, primarily focusing on Hardware Asset Management (HAM) with additional responsibilities in Software Asset Management (SAM). This role will involve managing the lifecycle of IT asset, ensuring accurate inventory, efficient allocation and provisioning, asset refresh, disposal, and compliance with company standards and policies. You will also be expected to manage basic system administration tasks and work closely with various stakeholders. The role requires a strong understanding of IT asset management principles, excellent organizational skills, and the ability to collaborate with various stakeholders to ensure compliance and optimization of IT assets. You will play a crucial role in the user onboarding and offboarding processes within the organization. Your role encompasses providing first-level technical support, user onboarding & offboarding of end-users, and managing knowledge resources, such as Standard Operating Procedures (SOPs) and support documents.

Responsibilities
- Oversee the complete lifecycle of IT assets, from procurement and provisioning to regular monitoring, upgrades, and final disposal.
- Regularly update the asset database to reflect changes in allocations, transfers, upgrades, and disposals. Ensure all data is accurate and timely.
- Maintain an accurate inventory of all IT assets, conduct regular audits to reconcile inventory records and identify discrepancies. Adhere to processes for tagging, labeling, and tracking IT assets.
- Use asset reconciliation tools to identify deviations in asset management processes and reactivate corrective actions to address discrepancies promptly.
- Evaluate business requirements, select suitable models, and initiate procurement and laptop refresh cycles, ensuring alignment with organizational needs. Coordinate with vendors and the procurement team to acquire necessary IT assets. Ensure compliance with procurement policies and procedures. Verify and track purchase requests, invoices, and delivery schedules.
- Utilize tools for efficient data migration, conducting thorough testing and validation before the rollout of refreshed laptops. Update the asset database with refreshed or newly allocated laptops, ensuring proper tracking and compliance.
- Coordinate the proper disposal and decommissioning of obsolete or surplus IT assets. Ensure compliance with data security and environmental regulations during asset disposal. Adhere to secure data wiping or destruction procedures as necessary.
- Ensure that all software assets are properly licensed, tracked, and compliant with vendor agreements.
- Maintain and monitor software license inventory, ensuring compliance with both internal policies and external vendor requirements.
- Support internal and external audits by providing detailed and accurate software license data and documentation.
- Responsible for user onboarding, covering account provisioning, hardware setup, software installation, and user support. Offboarding entails account deactivation, data handling, and asset recovery. Effective management of these processes enhances security, compliance, and efficiency, ensuring a positive experience for employees during transitions.
- Manage user expectations by communicating estimated response times and consistently meeting SLAs for response and resolution times, employing a customer-centric approach.
- Collaborate with users and management to ensure timely request & issue resolution, and escalation when necessary.
- Bachelor's degree in Computer Science, Information Technology, or a related field; equivalent work experience considered.
- 3+ years of proven experience as a System Administrator, IT asset management, or in a similar role, with a focus on asset management and infrastructure components.
- Proven experience in IT asset management or related roles.
- Strong understanding of IT asset lifecycle management principles and best practices.
- Proficiency in asset management software and tools (e.g., ITSM, CMDB).
- Effective communication and collaboration abilities with stakeholders at all levels.
- Understanding of regulatory and compliance requirements related to IT asset management.
- Familiarity with monitoring and understanding of ticketing tools and ITSM processes.
- Familiarity with remote desktop applications and help desk software.
- Ability to provide step-by-step technical help, both written and verbal.
- Proficiency in office applications, including MS Excel and Word.
- Relevant certifications such as MS Certified, ITIL are advantageous.
